The Ups and Downs of A New Toastmasters Club

 Green Hills Toastmasters Club (GHTMC), a new Club in English, was chartered last June 23, 2010, and it was placed in Area 12, Division A.
 
The Club meets every 2nd and 4th Tuesdays from 19:00 until 21:00 at Midorigaoka Kominkan, presided by the current President, TM Setsuko Noda. We welcome guests and TMC friends to come and join us in our meetings.
 
For TM’s or companies who are interested in building new Clubs, our experiences and setbacks may be useful in making your new Club a success. Please refer to the items below.
 
1.      Meetings and Public Relations
 
A. There are three (3) reasons why we were able to have the Club chartered within 1-½ years: (1) Make every meeting count. It should be interesting and fruitful; (2) Release a PR Letter in your city or town at least twice a year. We advertised our Club meetings and invite readers to come and experience our meetings in Yachiyo City; and, (3) Make your very own homepage. We upload our scheduled meetings and agenda in our homepage.
 
B. On setbacks, a couple of new members, after paying for the admission fee ( 2000 yen) and the bi-yearly dues ( 6000 yen), had difficulty coping after making their Icebreaker speeches. The common reasons are: old age, health problems and/or a busy job. It is important to keep on inviting guests to attend your meetings, even after being chartered. Public Relations should never stop recruiting would-be members.
 
The news of the charter was reported in the  local newspaper on November 7.
 
2.      Charter Forms in “How to Build a Toastmasters Club”
 
A.  At the beginning of June, 2010, we had more than seventeen (17) new members.It was time to prepare for all the necessary documents (Charter Forms) to be sent to the New Clubs department, TMI by Express Mail Services (EMS). We sent it 14th of June, 2010 and paid 1500 yen for the mail. It arrived at TMI 18th of June. Preparation for the documents took two (2) weeks because it took us ten (10) days to gather all signatures from the members.
 
B. New Clubs department of  TMI received our documents and pointed out some items missing in our Bylaws. We filled it out and faxed it immediately to them. They finally gave the “GO AHEAD” to the charter on the 23rd of June,2010. Next came another hitch - we found out that GHTMC belongs to the next term’s Area and Division in 2010-11 - instead of Area 12, Division A in 2009-10. New Clubs, TMI made the necessary corrections in June 30 - a delay of 7 days. The key is to have a seasoned Governor (s) to check the forms before sending it to TMI.
